Free QuickBooks CSV Validator

Check a bank CSV for QuickBooks 3- and 4-column import errors, confirm debit and credit totals, and download a candidate file locally.

Bank statement source

Bank CSV and TSV only. The check runs in this browser. QuickBooks Online documents a 3-column file (Date, Description, Amount) and a 4-column file (Date, Description, Credit, Debit). In that 4-column file, Credit is money out and Debit is money in.

What the result means

The check reads the CSV in this browser and compares it with the bank layouts Intuit documents for QuickBooks Online. A 3-column file has Date, Description and Amount. A negative amount is money out and a positive amount is money in. A 4-column file has Date, Description, Credit and Debit. In that documented file, Credit is money out and Debit is money in, which is the opposite of many bank statements. You choose the mapping and the date order, then compare money-in and money-out totals with the statement before download. Zero amounts, an amount in both Credit and Debit, and contradictory dates block the file. Duplicate rows and dates that fit both orders are warnings. No errors means a candidate file only. QuickBooks can still reject it.

Questions

Does my bank file leave the browser?

No. Decoding, column detection, the checks and the CSV download all happen locally. File contents, file names and totals are not sent in analytics.

What is the difference between the 3-column and 4-column files?

Intuit documents Date, Description and Amount for the 3-column file. Negative amounts are money out. The 4-column file is Date, Description, Credit and Debit. In Intuit's example, the payment is in Credit and the deposit is in Debit. Leave the unused cell blank.

Why do I have to confirm money in and money out?

A reversed debit or credit mapping can post every transaction the wrong way. The page shows both interpretations for split columns and will not download until you confirm the totals that match the statement.

Will QuickBooks accept the file if this page shows no errors?

Not necessarily. The page checks the published column, date, zero and character rules. QuickBooks can still reject the file, and Self-Employed is not given a separate layout in the current article.

What should I do with a zero or a description that is only a number?

Intuit says to remove zero amounts and to correct a description that is a number. This page lists those rows and leaves them in place. Delete or correct them in the source, then check the file again.

Which date format should the candidate use?

Use one order for the whole file. Intuit recommends dd/mm/yyyy. United States files often use mm/dd/yyyy, and the upload screen asks you to confirm the order. Ambiguous dates such as 01/02/2018 are warnings until a row proves the order.
